Privacy policy

Who we are
AUXIMA LTD provides this website and FD Suite. Our company number is 16100272, and our registered office is The Landmark, 1 School Lane, Burnley, Lancashire, BB11 1UF. You can contact us about privacy at hello@auxima.co.uk.
This policy has three parts: people who contact us through this website, people who use FD Suite, and the client data accountancy firms work with in FD Suite.
1. Demo requests through this website
AUXIMA LTD is the controller for this information.
- What we collect: your name, firm, work email, phone number if you give it, the accounting software your clients use, and anything you add in your message.
- Why: to respond to your request and arrange your demo. Our lawful basis is our legitimate interest in responding to enquiries about FD Suite.
- Where: stored on Google Cloud in London.
- How long: 12 months after our last contact with you, unless you become a customer or ask us to delete it sooner.
2. People who use FD Suite
AUXIMA LTD is the controller for the account information needed to run FD Suite securely.
- What we collect: your name and work email, your firm and role, when you were invited and signed in, and a record of significant actions you take in FD Suite (the audit log). Your password and authenticator set-up are held by Google Identity Platform on our behalf. FD Suite never sees or stores your password.
- Why: to give you access, keep accounts and client data secure, and show firms who did what. Our lawful basis is our legitimate interests in providing a secure service, and performing our agreement with your firm.
- How long: while your account is active. When you're removed, your account is switched off, but your name in the audit log is kept for security and accountability, for as long as we keep that log.
3. Client data in FD Suite
When an accountancy firm uses FD Suite for its clients, the firm decides how that data is used and is the controller. AUXIMA LTD processes it on the firm's behalf, as its processor, only to provide FD Suite.
- What FD Suite holds: financial data read from the client's accounting software with the firm's authority (for example, profit and loss, balance sheet, invoices, bills, payments and budgets), public company information from Companies House, and the working papers firms create, such as budgets, forecasts, notes and report commentary.
- Read only: FD Suite only reads from QuickBooks. It never creates, changes or deletes anything there. The access tokens that allow this are encrypted with Google Cloud's key management service.
- Where: stored in Google Cloud's London region, encrypted, and kept separate for each firm. Every sign-in needs a password and an authenticator code.
- How long: until the firm deletes the client or ends its use of FD Suite. After that, we delete it within a reasonable period, unless the law requires us to keep it.
Who else processes data for us
- Google Cloud (Google Ireland Ltd and its affiliates): hosting, database, encryption keys and sign-in, in the London region.
- Google Workspace: the email we use to send invitations and password links.
- Intuit QuickBooks: the source of accounting data, under the firm's and client's own agreements with Intuit.
- Anthropic: only if a firm switches on AI commentary. The client data needed for each draft is then sent to Anthropic to produce it. Anthropic processes data in the United States, and its commercial terms say it does not use this data to train its models.
We don't sell personal data, or use client data for anything other than providing FD Suite.
Your rights
You can ask to see, correct or delete your personal data, or object to how we use it. If your request is about client data held for an accountancy firm, we'll pass it to that firm, as it decides how that data is used. You can also complain to the Information Commissioner's Office at ico.org.uk.
Changes
We may update this policy. The date at the top shows when it last changed.
