FD Suite terms of use

Last updated 6 November 2026. These terms apply during FD Suite's invitation-only beta.

1. Who we are

FD Suite is provided by AUXIMA LTD, a company registered in England and Wales with company number 16100272, whose registered office is The Landmark, 1 School Lane, Burnley, Lancashire, BB11 1UF ("AUXIMA", "we", "us"). You can contact us at hello@auxima.co.uk.

2. Who these terms are for

FD Suite is for accountancy firms and the people they authorise to use it. These terms are between AUXIMA and the firm that has been invited to use FD Suite (the "Firm"). The people the Firm invites ("Users") must follow them too. By using FD Suite, you confirm you're authorised to accept these terms for your Firm.

If your Firm has signed a separate agreement with us, including data processing terms, that agreement takes priority where it differs from these terms.

3. The beta

FD Suite is currently offered to invited firms as a beta. During the beta it's free of charge unless we've agreed otherwise in writing. Features may change, and we may end the beta with reasonable notice. We welcome feedback, and may use it to improve FD Suite without any obligation to you.

4. Accounts and security

  • Accounts are by invitation only. Each User has their own account and must not share it.
  • Every sign-in needs a password and a code from an authenticator app. Users must keep both secure and tell their Firm admin, or us, straight away if they think either has been compromised.
  • Firm admins are responsible for inviting and removing their Firm's Users and choosing what they can see.

5. Connecting accounting software

A Firm may connect a client's QuickBooks Online company to FD Suite, but only where the Firm is authorised by that client to do so. FD Suite only reads data from QuickBooks. It never creates, changes or deletes anything in QuickBooks. A Firm can disconnect a client at any time, in FD Suite or in QuickBooks.

6. Reports, figures and professional judgement

FD Suite helps accountants prepare management information. It does not give accounting, tax, legal or investment advice. Its figures, forecasts, tax estimates, warnings and any written commentary depend on the data it receives and on the assumptions entered, and may be incomplete or wrong.

The Firm is responsible for checking anything produced with FD Suite before relying on it or sharing it, and for the professional advice it gives its clients.

7. Optional AI commentary

Some features can draft commentary using an AI service. They're off unless a Firm switches them on and accepts the data statement shown in FD Suite. When they're on, the client data needed for the draft is sent to our AI provider to produce it. AI drafts can be wrong, and must be reviewed and approved by the Firm before use.

8. Client data

Data a Firm puts into or connects to FD Suite remains the Firm's or its clients' data. We process it only to provide FD Suite to the Firm, on the Firm's instructions, as described in our privacy policy and any data processing terms we've agreed with the Firm. The Firm is responsible for having a lawful basis to use its clients' data in FD Suite.

9. Acceptable use

You must not use FD Suite unlawfully; try to access data that isn't yours or another firm's data; test, probe or disrupt its security (other than testing we've agreed in writing); copy, resell or reverse-engineer it; or upload anything harmful.

10. Availability and changes

We aim to keep FD Suite available and secure, but we don't promise it will be uninterrupted or error-free, especially during the beta. We may carry out maintenance and make changes. We'll try to give notice of changes that significantly affect how a Firm uses FD Suite.

11. Suspension and ending

A Firm may stop using FD Suite at any time. We may suspend or end a Firm's or User's access if these terms are seriously broken, if needed to protect FD Suite or other firms' data, or when the beta ends, giving notice where we reasonably can.

When a Firm's use ends, it can ask us to export its data. We'll then delete it within a reasonable period, except anything we must keep by law. Audit records of account activity may be kept for longer for security purposes.

12. Our intellectual property

FD Suite, its software and its content belong to AUXIMA or its licensors. We give the Firm and its Users a non-exclusive, non-transferable right to use FD Suite during the beta, for the Firm's own work for its clients, under these terms.

13. Liability

Nothing in these terms limits liability that cannot be limited by law, including for death or personal injury caused by negligence, or for fraud.

Subject to that, we are not liable for indirect or consequential loss, loss of profit, revenue or goodwill, or for losses arising from reliance on figures, forecasts or commentary that weren't checked as section 6 requires. While FD Suite is provided free of charge, our total liability arising from FD Suite is limited to £100.

14. Changes to these terms

We may update these terms. We'll tell Firm admins about significant changes, and the date at the top shows when they last changed.

15. Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
